How we handle your info at the shop

Look, we get it - nobody really enjoys reading these things. But here at Blightvorn Nexus, we're straight shooters. We've been wrenching on cars since forever, and we treat your personal info with the same care we'd give a rare vintage engine.

This policy lays out what we collect when you bring your ride in, book an appointment, or just browse our site. We're based in Vancouver, BC, Canada, so we follow all the Canadian privacy laws - PIPEDA and all that jazz.

Last thing - if you've got questions, don't hesitate to holler at us. We'd rather explain something now than have you worried later.

Personal Contact Stuff

When you book with us or drop off your vehicle, we'll need the basics - your name, phone number, email address. Pretty standard stuff. We also keep your vehicle info on file (make, model, VIN, year) so we can track service history and order the right parts.

Payment Details

We process credit cards and other payments, but here's the thing - we don't actually store your full card numbers on our systems. That all goes through our payment processor who's got way better security than we could ever manage in a shop environment.

Service Records

Every time we work on your ride, we document it. What we found, what we fixed, parts used, diagnostic codes pulled - the whole nine yards. This helps us catch patterns and remember what's been done when you come back.

Website Activity

Like most sites, we collect some technical info when you visit - IP address, browser type, pages you looked at, how long you stuck around. Nothing crazy, just helps us fix broken links and see what folks are actually interested in.

We're not selling your info or anything shady like that. Here's what we actually do with it:

  • Service your vehicle - kinda obvious, but we need your contact info to call you when your car's ready or if we find something unexpected under the hood
  • Send appointment reminders - nobody likes missed appointments, so we'll text or email you a heads up
  • Process payments - gotta keep the lights on and pay for those expensive diagnostic tools somehow
  • Maintain service history - helps us remember what we did last time and catch recurring issues
  • Send occasional updates - maybe a reminder about seasonal maintenance or if we're running a special on something your vehicle needs
  • Improve our services - if everyone's asking about EV conversions, we know that's something to focus on
  • Legal compliance - sometimes we gotta keep records for warranty claims or regulatory stuff

If you don't want the promotional emails, just let us know. We won't take it personally - our feelings aren't that fragile.

We're pretty tight-lipped with your info, but there are a few situations where we might share it:

Parts Suppliers & Manufacturers

Sometimes we need to share vehicle info and VINs with parts suppliers or manufacturers for warranty claims, recalls, or to order the exact right component. They don't get your personal contact info unless it's absolutely necessary for the warranty process.

Service Providers

Our payment processor, email service, and appointment scheduling software see some of your info. But they're all under contract to keep it confidential and can't use it for their own purposes.

Legal Requirements

If the law says we gotta hand over records - court order, subpoena, regulatory inspection - we'll comply. We're not looking to fight the government over this stuff.

Business Transfers

If we ever sold the shop (not planning on it, but ya never know), your service records would transfer to the new owner. They'd still be bound by this privacy policy though.

We take security seriously, even if we're not tech experts. Here's what we do:

  • Our computer systems are password-protected and behind a firewall
  • Physical service records are locked up after hours
  • Only staff who need access to customer info actually get it - the new apprentice doesn't need your credit card details
  • Our website uses SSL encryption (that little padlock in your browser)
  • We shred old paper records instead of just tossing them
  • Staff are trained not to leave customer info visible on the front desk

That said, nothing's 100% secure. If we ever had a data breach, we'd notify affected customers ASAP and follow all the legal requirements. Knock on wood, hasn't happened yet.

We hang onto customer records longer than you might expect, but there's good reasons:

Service Records

We keep these for at least 7 years after your last visit. Why so long? Warranty claims can pop up years later, and having detailed records of what we did can save everyone a headache. Plus, if you come back after a few years, it's super helpful to see what's been done before.

Financial Records

Tax laws require us to keep payment records for 7 years. Not our rule, that's just how the CRA wants it.

Marketing Lists

If you've opted into emails, we'll keep you on the list until you unsubscribe or your email starts bouncing. No point emailing dead addresses.

Under Canadian privacy laws, you've got some rights about your personal info:

Access Your Information

You can ask to see what info we've got on file for you. We'll provide it within 30 days, usually sooner. There might be a small fee if it's a massive request that'll take hours to compile, but we'll let you know upfront.

Correct Mistakes

If something's wrong in your records - old phone number, incorrect vehicle info - just tell us and we'll fix it. We want accurate records anyway.

Withdraw Consent

Don't want marketing emails anymore? Done. But keep in mind, we still need some basic info to provide service - can't exactly fix your car without knowing who owns it.

Delete Your Data

This one's trickier. We can remove you from marketing lists no problem. But we might need to keep service records for legal/warranty reasons even if you ask us to delete everything. We'll delete what we legally can though.

To exercise any of these rights, just shoot us an email at service@blightvornexus.info or call the shop. We'll verify it's actually you (can't hand out records to random people) and then take care of it.

Yeah, we use cookies. Not the chocolate chip kind unfortunately. Here's the breakdown:

Essential Cookies

These keep the site working - remember you're logged into the appointment portal, keep items in your cart if we ever add online parts ordering. Can't really disable these without breaking stuff.

Analytics Cookies

We use basic analytics to see how people use the site. Which pages get visited, where folks are coming from, what devices people use. Helps us know if our mobile site sucks or if nobody can find the contact page.

Your Browser Settings

You can block cookies in your browser settings if you want. The site might not work as smoothly, but it's your choice. Most browsers also have a "Do Not Track" option we respect.

Laws change, we add new services, technology evolves - so yeah, this policy might get updated from time to time.

If we make any big changes, we'll post a notice on the website homepage for at least 30 days. For major changes that really affect how we handle your data, we might send an email to let you know.

The "last updated" date at the bottom shows when we last tweaked anything. If you're the type who checks this stuff regularly (respect), that's how you'll know something changed.
